Job Summary

The Talent Acquisition Operations Specialist will partner closely with Global TA team and various partners within HR to facilitate a smooth interview and onboarding experience for candidates and ensure compliant hiring practices are followed.

 

The TA Ops Specialist will support scheduling of candidate interviews and work within SuccessFactors other HR systems throughout the onboarding lifecycle. They will be responsible for initiating and monitoring pre-employment screening, drafting offer letters, employment contracts, and gathering all required documents for contract preparation (such as bank details, identification documents, social security information, etc.). Additional responsibilities include but are not limited to assisting with process improvements and standardization within TA, supporting internal compliance requirements, leading various internal TA Ops activities such as employment surveys, etc.

 

This individual will report to the Talent Acquisition Program Manager.  

Key Tasks & Responsibilities (Essential Functions)

  • Interview scheduling for open requisitions. Coordination and administration of onboarding for selected candidates including drafting offer letters and employment contracts, collection of necessary administrative documents for contract generation: bank account details (RIB), government-issued ID, proof of social security affiliation, proof of address, etc. Initiating and managing progress of pre-employment screening, and coordination of work permits.
  • Help implement process improvements and standardization of operational processes, tools/systems, policies, compliance standards, engagement surveys, etc. under the direction of the Talent Acquisition Program Manager. 
  • Administration of TA related ticketing system, pre-employment adjudication, new hire kits, referral bonus, audits, etc. 
  • Provide support to TA related projects as needed.  
  • Maintaining publications of policies, procedures, knowledge base articles, processes, tools, etc. that support Global TA Operations. 
  • Maintain a positive relationship with key vendors and suppliers, ensuring delivery of service level agreements, key performance indicators, and following up on escalations. Work with our Procurement team to ensure standardized and competitive contractual agreements for vendor services. (Tools, pre-employment, licenses, etc.).

Skills and Minimum Experience Required

  • Bachelor's Degree in human resources, legal, organizational psychology, business administration or equivalent work experience
  • 3 to 5 years of relevant experience
  • Experience supporting large corporate or global TA teams
  • Experience with ATS/HRIS platforms, SAP SuccessFactors strongly preferred
  • Detail-oriented and enjoys digging into data and documentation to ensure accuracy and compliance
  • Tech-savvy, and continuously looking for ways to improve systems and workflows
  • Excellent communication and interpersonal skills
  • Can handle confidential information with the utmost care and professionalism
  • Understanding of project lifecycles, tools, and frameworks
  • Experience with an RPO model is a plus
  • Strong proficiency in Microsoft Office Suite, with intermediate to advanced Excel skills
  • Bilingual - English and French 

Preferred Skills and Experience

  • Bachelor's Degree in human resources, legal, organizational psychology, business administration
  • Experience in global environments strongly preferred. Agency, corporate recruiting, or human resources experience required
